Annual License Renewal and Financial Filings

Annual Renewal Letters

An annual renewal letter was mailed to all companies in December 2014. The web version of the annual renewal letter is no longer available.

Multiple Employer Welfare Arrangements must complete an annual renewal report electronically using the following link: MEWA Annual Renewal. MEWAs must submit their completed annual renewal report electronically through the Annual License Renewal and Financial Filing Submission Portal.External Link logo

Purchasing Groups must complete an annual renewal report using the following link: PG Annual Renewal. Purchasing Groups must submit their completed annual renewal report through the Annual License Renewal and Financial Filing Submission Portal.External Link logo.

Electronic Annual License Renewal and Financial Filing Submission Portal

All foreign and alien companies, excluding health maintenance organizations (HMOs) and dental plan organizations (DPOs), MUST submit eligible document electronically through the Annual License Renewal and Financial Filing Submission Portal.External Link logo.

A Submit button is presented if the document is available for electronic submission. If there is no Submit button presented, then documents should be sent by mail to this Office or to where specified in the portal or on the related form or checklist. In addition, companies should review FAQs regarding the submission portal.

Virginia domestic companies must continue to send annual and quarterly statements in hard copy. Other renewal documents should be submitted through the portal unless otherwise noted.

All foreign and alien companies and accredited reinsurers, excluding health maintenance organizations (HMOs) and dental plan organizations (DPOs), that file their NAIC annual statement blank and related supplements with the NAIC are exempt from filing a hard copy of these items with the Bureau. These filings should be submitted to the NAIC via electronic media in accordance with due dates established by the NAIC.

At this time, the following company types are not eligible to file documents through the portal: Continuing Care Retirement Communities, Municipal Liability Pools, and Workers Compensation Group Self-Insurers.

Virginia Specific Financial and License Renewal Forms

Annual statement and quarterly filings for Virginia domestic companies must be submitted to P.O. Box 1157, Richmond, VA 23218 or by messenger, 1300 East Main Street, 1st Floor Mail Room, Richmond, VA 23219. All other forms should be submitted via the Annual License Renewal and Financial Filing Submission Portal.External Link logo PLEASE DO NOT SEND RENEWAL FORMS TO THE ASSESSMENTS UNIT OF THE BUREAU OF INSURANCE.
